Business Administration Apprentice

Key Responsibilities
Accounts & Payroll:
- Manage payroll and pensions processes, including any required adjustments (expenses/bonus), and maintain payslip portal access for all employees.
- Conduct daily, weekly, and monthly banking activities, including processing bill payments and maintaining operating cost receipts.
- Manage the monthly invoicing run for all retained and ad-hoc billings, posting invoices to partners as required, and reconciling payments received in accounts software (QuickBooks).
- Handle paperwork for partner onboarding and offboarding, including contracts, addition to accounts software, invoicing, and recurring templates.
- Liaise with internal teams and project leads on client invoicing.
- Review outstanding debtors, chasing as appropriate and escalating via the bad debt process.
- Flag upcoming contract renewals and prepare new contracts for existing partners as required.
- Produce required management reports, including debtors aging summary, profit & loss, VAT, payroll costs, and financial summaries for monthly Business Updates.
Office Administration:
- Monitor building access (alarm and keyholder logs), office visitors log, and staff desk booking systems.
- Maintain office condition, organising cleaning, repairs, fire safety, meter reads, electrical testing, and ensuring adequate insurances are in place.
- Maintain office supplies, including stationery, equipment, and refreshments (milk, tea, coffee).
- Book approved training, events, travel, and accommodation as required.
- Organise staff lunches and catering for partner meetings as required.
People & Culture:
- Run the Employee of the Month survey within the Herd HR portal.
- Support the People & Culture team with ongoing projects and initiatives.
- Book Herd team socials and events.
Skills & Knowledge
- Accounts/Excel – Aptitude for numbers/mathematics
- GCSE Maths & English (grade 5+).
- Attention to detail.
- Confident, outgoing, and able to collaborate with colleagues and clients.
- Self-starter with excellent organisational skills.
