Age UK Hull & East Yorkshire is looking for an enthusiastic Admin Apprentice to join their friendly and hardworking team and support the administration of their Home Support Service.

This is a fantastic opportunity to gain practical experience, work towards your apprenticeship qualification and develop the skills you need for a successful career in administration, all while making a genuine difference to older people in your local community.

Key Responsibilities

As an Admin Apprentice, you will provide essential administrative and customer service support to the Home Support Service. You’ll have the opportunity to develop your confidence, communication, IT and organisational skills while helping our services run smoothly.

Your day-to-day responsibilities will include:

  • Answering and directing telephone calls and taking accurate messages.
  • Providing a friendly and professional welcome to clients, visitors, volunteers and professionals.
  • Responding to routine enquiries by telephone, email and in person, referring more complex enquiries to the appropriate member of staff.
  • Providing general administrative support to the Home Support Service and other teams when required.
  • Using IT systems, including Outlook, to respond to emails and maintain information.
  • Updating spreadsheets, databases and service records accurately.
  • Preparing letters, emails, forms, information packs and other correspondence.
  • Filing, scanning, photocopying and securely storing documents.
  • Assisting with incoming and outgoing post and general office correspondence.
  • Supporting staff with printing, document preparation and basic reports or spreadsheets.
  • Assisting with the organisation of meetings, appointments, events and community activities.
  • Taking meeting notes or minutes where appropriate and sharing relevant information.
  • Assisting with monitoring service information, statistics and administrative records.
  • Supporting the administration of volunteers, including maintaining records and preparing paperwork.
  • Helping to resolve clients’ issues or ensuring they are referred to the appropriate member of staff.
  • Assisting with fundraising activities, appeals and events when required.
  • Supporting the preparation of promotional materials and service information.
  • Ordering office supplies and helping to maintain appropriate stock levels.
  • Helping to keep the office organised, welcoming and professional.
  • Maintaining confidentiality and handling information appropriately in line with GDPR, safeguarding and organisational policies.
  • Developing knowledge of Age UK Hull & East Yorkshire’s services and signposting people to appropriate support.
  • Attending team meetings, training and apprenticeship learning sessions.
  • Completing apprenticeship coursework and putting new knowledge and skills into practice in the workplace.
  • Undertaking other reasonable administrative duties appropriate to the role and level.

Skills & Knowledge

They are looking for someone who is positive, reliable and keen to learn. You don’t need to have lots of previous office experience; what matters most is your attitude, willingness to learn and enthusiasm for helping people.

The successful applicant will have:

  • GCSE English at Grade C/4 or above, or equivalent.
  • Good spoken English and communication skills.
  • Good ability and confidence when speaking on the telephone.
  • Basic IT skills and an interest in developing your digital skills.
  • An interest in customer service and administration.
  • A good understanding of, or willingness to learn about, the needs of older people.
  • A positive and professional attitude.
  • A commitment to providing excellent customer service.
  • Good attention to detail and accuracy.
  • Good organisation and time-management skills.
  • The ability to work as part of a positive, productive and hardworking team.
  • A willingness to learn, take on new responsibilities and put your apprenticeship training into practice.
  • A good sense of humour and the ability to laugh at yourself!
